Top Email Etiquette Rules for Kind and Considerate Messages by Michael Angier
Within the first three seconds of a new face-to-face encounter, you are evaluated. And for many of us, face-to-face encounters are just a small part of our worldwide base of relationships. We communicate every day through our email messages without ever meeting the person on the receiving side.
Mastering of your e-mail skills goes a long way towards forging the most professional perception you can with anyone you may communicate with via email.
1. Keep the message to one topic. Limit the email message to one question or topic. This allows the person receiving it to focus on one item and not get long, rambling messages that may be overwhelming. If you have more than one topic to discuss, break the topics into separate emails.
2. Avoid long sentences. Keep your sentences to a maximum of 15-20 words. Email is meant to be a quick medium and requires a different kind of writing than letters.
And take care not to send emails that are too long. If a person receives an email that looks like a dissertation, chances are that they will not even attempt to read it!
3. Use proper spelling, grammar and punctuation. Improper spelling, grammar and punctuation give a bad impression of your company. And correct punctuation is important for conveying the message properly. Emails with no full stops or commas are difficult to read and can sometimes even change the meaning of the text. If your program has a spell- checking option, use it.
4. Answer swiftly. Customers send an email because they wish to receive a quick response. If at all possible, reply to the email within at least 24 hours and preferably within the same working day.
If the email is complicated and needs more attention than just a quick answer, at least send an email back saying that you've received it and that you will get back to them.
5. Do not overuse the high priority option. If you overuse the high priority option, it will lose its function when you really need it. And, even if a mail has high priority, your message will come across as slightly aggressive if you flag it as 'high priority'.
6. Do not write in CAPITALS. IF YOU WRITE IN CAPITALS IT SEEMS AS IF YOU ARE SHOUTING. This can be highly annoying and might trigger an unwanted response in the form of a flame mail. Also, it's difficult to read.
7. Don't leave out the message thread. When you reply to an email, include the original mail in your reply. This means to click 'Reply' instead of 'New Mail'. Leaving the thread might take a fraction longer in download time, but it will save the recipient much more time and frustration in looking for the related emails in their inbox.
8. Read the email before you send it. Reading your email through the eyes of the recipient will help you send a more effective message and avoid misunderstandings and inappropriate comments. Ideally, reading the email out loud will help you quickly pick up any unclear or emotional phrases that may be misinterpreted.
9. Keep the subject line short. Keep the subject line less than 35 characters. This helps you to be succinct in the meaning of your message. Also, many email programs will truncate (clip off) long message lines in the email viewer. And make sure the subject is meaningful to the recipient as well as yourself.
10. Use BCC (Blind Carbon Copy). When addressing a message to a group of people, use the BCC address line. By using BCC, the recipient only sees two recipients: theirs and yours.
11. Take care with abbreviations and emoticons. In business emails, don't use abbreviations such as BTW (by the way) and LOL (laugh out loud). The recipient might not be aware of the meanings of the abbreviations and in business emails these are generally not appropriate. The same goes for emoticons, such as the smiley :-). If you are not sure whether your recipient knows what it means, it is better not to use it.
12. Don't forward virus hoaxes and chain letters. If you receive an email message warning you of a new unstoppable virus that will immediately delete everything from your computer, this is most probably a hoax. By forwarding hoaxes, you use valuable bandwidth and sometimes virus hoaxes contain viruses themselves, by attaching a so-called file that will stop the dangerous virus.
The same goes for chain letters that promise incredible riches or ask your help for a charitable cause. Even if the content seems to be bona fide, the senders are usually not. Since it is impossible to find out whether a chain letter is real or not,

4 Easy Steps to Software Project Planning
Whether you are looking to complete a small software project, a website or just have an installation done you need to follow the following guidelines to ensure it's success.
1. Simple - This is a relative term, but the idea is that the software you get developed should do one thing and do it very well. Adding all kinds of bells and whistles to a product or project that are ancilliary to the main task will increase the time it takes to develop and reduce the likelyhood that the project will be completed. Follow Einsteins advice: "Everything should be as simple as possible, but no simpler."
2. Short deadline - Keep the deadline to exactly what the developer thinks it will take to complete the project. Do not allow for holidays or the completing of another project from when you agree to start and when you will accept delivery. Shorter deadlines focus their attention on your project and keeps it there.
3. Well defined - If you don't know exactly what you want, then you probably won't get anything near what you want. Brainstorm for a couple of days on features that you want. Any questions about what needs to be developed will cause the project to overrun and cost more. Be specific.
4. Well documented - Once you know what you want, write it down. Do not take any feature for granted. It may been nitpicky, but the things that you fail to communicate to the developer will be the things that are not going to be in you product. Write down summaries, tasks, algorithms, color schemes, layouts, input validation and mock screens.
Keep these 4 things in mind when you set out to freelance your next project and you'll have an easier time of it. That'll leave you with more time to spend on more important things!

Gaining Trust is Never Easy. Losing it is. by Michael Angier
I was on the learning team this week, and I thought you'd benefit from what happened.
SuccessNet has been doing business on the Internet for over 12 years. And during that time, we've come to be known as one of the most trusted sources for personal and professional growth on the Web. We're proud of the fact that people trust us for our information and for how we do business.
But over the past few days, I've had a chance to see just how skeptical people can be and how seemingly little things will cause people --especially new people--to question doing business with us.
It was quite eye-opening and bears some contemplation--for us and also for you in your business.
The first experience was a phone conversation with a subscriber. He was inquiring about our http://successnet.org/diamond/ and it gave us a chance to get to know each other a little.
He mentioned that he was feeling better about SuccessNet after speaking with me. When I asked why he hadn't before, he mentioned a Teleseminar we had done last year. He had heard about it too late to attend live, but when he emailed me about a recording, I told him to stand by as it was going to be available soon.
Apparently, when we announced the availability of the audio file to our readers, he missed it. And in the process he felt that we had not followed through. It was perceived as a small breech of trust--but enough to cause a seed of doubt. I was glad for the opportunity to clear it up.
There was another event that occurred this week that further showed me just how careful you have to be when you do not yet have a relationship of trust.
One of our new members related to me that she was disappointed in a couple of things. It seems that during our Open House Conference call (the recording is available on our http://successnet.org/cms/ ), I had stated there would be time for some questions and answers. And there were via the webcast. Participants could--and did--send in questions which we answered. But I forgot to leave a Q&A time for those on the telephone. Once again, my error caused doubt in her mind.
And this same person was troubled that a link sent to her was not hot-linked and seemingly invalid. We now had two strikes against us.
Now these things may seem like small things to you. They did to me at the time. But these experiences made it ever so clear to me how little things can plant--and nurture--doubt in the mind of the prospect or customer.
Trust is built slowly. It takes time to gain the confidence of people. Making small agreements and keeping them is the way to creating opportunities for bigger and more important agreements. But dropping the ball at any point--even in small ways--impedes and sometimes kills the long-term relationship.
In any relationship, there are no little things. Everything counts.
I'm grateful that with my personal relationships --and with our long-time readers and members--I've built up good "Trust Accounts". Trust accounts are created by consistently doing what you say you'll do and always acting with honesty and integrity. When your trust account is large enough, a small misstep or mistake is easily forgiven or even overlooked. At least they'll give you a chance to clean it up.
But when trust accounts are not yet established, these missteps can be deal killers.
It's something to think about.
PS: I would really like the chance to build trust with you. If we fall down on anything, please let us know--we want to make it right. We're moving fast and as hard as we try, we do make mistakes. But if you'll give us a chance, we'll show you that we really care about long-term relationships. We're good at it --and getting better.

I have told you about our fellow publisher hanne Anderson being in the hospital with complications from MS? To date she is at least comfortable according to her man friend Brian Gage. I don't think Hanne is going to recover from this or at least completely. so lets continue praying for her as she fights this terrible disease.

Multilingual Marketing isn't just translating your website into other languages - it involves creating marketing materials and advertising campaigns in several languages and targeting them to specific countries.
Translating your website, or part of your site, into different languages would be a good place to start. But don't waste your time with computer-generated translations - these are very inaccurate and the translations are often little more than gibberish!
You will need to find trusted native speakers of the languages you will be using, preferably ones who live in the countries you will be targeting, so they will have an understanding of the local community.
Translation is the easy part!
As with any marketing strategy, your Multilingual Marketing strategy should also also include search engine optimization (SEO) for the translated pages.
Key factors in making your site global will include Pay Per Click (PPC) translations, press release translations, setting us RSS feeds etc.
Keyword analysis must be done for each language, but the person doing this must be familiar with the words/terms used in their country, so cultural knowledge of the country is essential. This WILL affect your PPC and SEO campaigns.

5. Content Sites Put up sites specifically aimed at your market keywords, on these sites put up articles, reviews, surveys or forums. The Internet is built on content, can you say search engine friendly?
Above all don't start spamming blogs, forums or polluting the net with garbage to trick people into visiting your sites... these scorched earth methods are never strategies that work for the long haul.

RSS Feed Etiquette and Guidelines By Sharon Housley
The arguments continue to rage over the ambiguities in the RSS specifications. But the fact is: RSS is here to stay, and the current defined RSS 2.0 specification is likely going to be as good as it is going to get. Attempts have been made to create "best practice" documents and specification clarifications. We felt it would be helpful to provide general guidelines for those constructing an RSS 2.0 feed. In general, the following are guidelines for constructing an RSS feed. It is good to get into the habit of validating the RSS feed, either with software, or with an online validator.
Here are some general guidelines for creating RSS Feeds:
1. Enclosures
Include only one enclosure per item for maximum compatibility. The RSS 2.0 specification does not clearly state whether multiple enclosures are allowed or not, but most RSS readers will only support a single enclosure. Therefore, it is best to conform to the readers, and only include a single enclosure in each RSS feed item.
2. Date Formats
Date formats can be very tricky; be sure that all dates are properly formatted.
3. Encoding
Encoding is required for certain characters. If you are using software to create the feed, it should handle character encoding for you.
4. HTML
While the specification is not explicit, it is generally a good idea to not use HTML coding within the Channel or Item titles. For maximum feed compatibility, the only place you should use HTML is in the RSS Feed Item Description.
5. GUID
GUID (Global Unique IDentifiers) are not required. However, publishers are encouraged to use a unique string in the GUID field. Many RSS readers look for GUID changes to determine if new items are available in an RSS feed.
6. Images
If you are including an image with the feed, the suggested image size is 88x31 (the maximum allowed size is 144x400). If you are including an image in the RSS feed's Item Description or Enclosure fields, there are no size limitations, but keep in mind that excessively large graphics will negatively impact the amount of time it takes to load the feed.
7. Favicons
Some RSS readers and search engines will display the favicon of the hosting domain beside the listing for an RSS feed. In order for your feed to stand out, be sure that you include a favicon in the root directory of your website's domain.
8. URLs
Use "absolute" URLs for images, websites, and links, instead of "relative" URLs. The intent of RSS is to syndicate content, so the RSS feed may not always be local to the person viewing the feed. As such, the full web path to all images, websites, and links should be used. In other words, do not use " ../imageurl.gif ", but instead use the full URL " http://www.mydomain.com/imageurl.gif " when linking to any content.
9. Titles
Use a meaningful title for the Channel feed and RSS feed Items. Most RSS directories and search engines use the words in the Channel Title and Item Title to classify the RSS feeds.
10. Mime Types
If you are including a file in the enclosure field of an RSS feed, be sure to properly define the "file size" and the "mime type" of the file enclosure. A list of proper mime type formats can be found here - http://www.feedforall.com/mime-types.htm .
11. Auto-Discovery
Include RSS feed "auto-discovery" code in your HTML page header. This will allow certain browsers and RSS feed readers to automatically know that an RSS feed is available for specific content.

12. Volume
The number of items contained in a feed is important. Establish a history and expand the feed on a regular basis. Prune the RSS feed if it becomes excessively long; this will help make the RSS feed load faster.
